To allow for the safety and privacy of all participants, CEI Alumni adheres to the following data storage and privacy statement. While we are aware that laws differ globally, this policy is designed to align with the European General Data Protection Regulation (GDPR).

2. What Information We Collect

Through registering for the conference, subscribing to our newsletter, or filling in contact forms, we may collect:

  • Personal Identification: Name, email address, school affiliation.

  • Conference Logistics (If applicable): Passport details (for visa support), dietary requirements (health data), and emergency contact information.

  • Visual Media: Photographs and videos taken during CEI conferences.

3. How We Use Your Information

We collect this data to:

  • Process your registration for the annual conference.

  • Ensure participant safety and cater to dietary needs during events.

  • Send updates about Caretakers of the Environment International (CEI) and Alumni work.

  • Promote the organization through photos/videos on our website and social media (see Section 6).

4. Data Sharing

We do not sell your data. However, for conference operations, necessary data may be shared with:

  • The Host Country Organization: To manage local logistics (accommodation, transport).

  • Service Providers: Strictly for operational needs (e.g., hotel rooming lists).

5. Parental Consent

If you are under the age of 16 (or the age of majority in your country), you must have the permission of a parent or guardian to register or share personal details with us. By registering, you confirm that such consent has been granted.

6. Photography and Media

By participating in our conferences, you acknowledge that photos and videos may be taken for promotional and educational purposes. If a participant (or their parent) does not wish to be photographed, it is their responsibility to inform the Host Organization upon arrival, and we will make reasonable efforts to respect this request.

7. Your Rights

You have the right to:

  • Access the data we hold about you.

  • Rectify any incorrect data.

  • Request Removal ("Right to be Forgotten"): You may ask to be removed from our lists at any time. To do so, please contact both the current Host Organization and alumnicei0000@gmail.com.

8. Changes to this Policy

We reserve the right to modify our privacy policy at any time. Changes will take effect immediately upon posting to the website. If we make material changes, we will notify you here so that you are aware of what information we collect and how we use it.
